A good fit when

Connecting popular tools quickly, and for any workflow where the task volume is modest and the logic is simple. Nothing to host and nothing to maintain.

Look elsewhere when

Volume and complexity. Pricing is per task, so a high-traffic workflow gets expensive in a way that is invisible until the invoice. Deep branching logic is also harder to follow and debug than the equivalent in n8n.

We only recommend software when it clearly pays for itself. If your situation is in the right-hand column, we will say so on the first call rather than after the invoice.

Zapier or n8n — which should we use?
Zapier when the volume is low, the apps are mainstream and you want it working this week. n8n when the task count is high enough that per-task pricing hurts, when the logic branches a lot, or when the data should not pass through a third party. We have built on both and will say which one your case is.
We have inherited a Zapier account nobody understands. Can you help?
Yes, and it is a common request. The work is auditing what is actually running, finding what has silently broken, documenting the rest, and retiring the duplicates that accumulated. Usually it also cuts the bill.
